This Privacy Policy explains how Olentra LLC, a Florida limited liability company ("we," "us," or "our"), collects, uses, and protects your information when you use Olentra (the "Service") or visit our website. By using the Service, you agree to this policy.

Information we collect

• Account information: your name, email address, and login credentials (passwords are stored only as salted hashes, never in plain text).
• Content from connected services: when you connect a platform such as Gmail, Slack, Telegram, or Microsoft Outlook/Teams, we access and store messages, participants, timestamps, and related metadata that you have access to, in order to detect and track commitments ("tasks").
• Authorization tokens: the access tokens that let the Service connect to platforms on your behalf.
• Usage data: actions you take in the Service, such as when you open your board or track a task, used to operate and improve the product.
• Website activity: how you use our website, such as the pages and sections you view, the links you click, and how you use the demo, collected through Google Analytics.
• Advertising and campaign data: when you reach us from one of our ads or campaign links, the campaign tags and ad click identifiers in that link (such as utm_source or gclid). We keep them in a cookie for 30 days and save them with your account if you sign up, so we can tell which ads lead to sign-ups and purchases.
• Payment information: handled by our payment processor, Stripe. We do not store your full card details on our servers.

How we use your information

• To provide the core Service: detecting commitments, tracking tasks, and drafting follow-ups.
• To operate, maintain, secure, and improve the Service.
• To communicate with you about your account, updates, and support.
• To process payments and manage subscriptions.
• To measure which of our ads and campaigns bring visitors, sign-ups, and purchases.

AI processing

To identify commitments, portions of your conversation content are sent to third-party AI providers (such as Anthropic) to be analyzed and returned. We use these providers under agreements that they will not use your content to train their models. We do not sell your data, and we do not use your private message content for advertising.

How we share information

We do not sell your personal information. We share it only with service providers that help us run Olentra, and only as needed, including:

• Hosting and database: Render, which stores your data.
• Cloud infrastructure: Amazon Web Services (AWS).
• AI processing: Anthropic (and similar providers) to analyze conversations.
• Payments: Stripe, to process subscriptions.
• Analytics: PostHog, to understand how the Service is used, and Google Analytics, to understand how visitors use our website and the Service.
• Advertising: Meta, TikTok, LinkedIn, and Google Ads, which learn when a visit, sign-up, or purchase came from one of our ads, so we can measure those ads. We do not send them your name, your email address, or your message content.

We may also disclose information if required by law or to protect the rights, safety, or property of Olentra, our users, or others.

Data retention and deletion

We retain your data for as long as your account is active. You can disconnect a platform at any time, which stops further ingestion from it. You can delete your account, which removes your tasks, connected-account data, and stored messages from our active systems. Backups and legally required records may persist for a limited period.

Security

We use reasonable technical and organizational measures to protect your data, including encrypted connections and hashed passwords. No system is perfectly secure, but we work to safeguard your information and limit access to it.

Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data. You can exercise these rights, or ask any privacy question, by contacting us at info@olentra.ai.

Cookies

We use a small number of essential cookies to keep you signed in and to operate the Service, and one cookie of our own that remembers, for 30 days, which campaign or ad brought you to us. We and our partners also use:

• Analytics cookies: Google Analytics, on our website and in the Service, and PostHog, in the Service, set cookies or similar identifiers to measure how they are used.
• Advertising cookies: Meta, TikTok, LinkedIn, and Google Ads set cookies or similar identifiers so we can measure which of our ads lead to visits, sign-ups, and purchases.

In the European Economic Area, the United Kingdom, and Switzerland, advertising cookies stay off unless you accept them. Wherever you are, you can accept or reject analytics and advertising cookies, and change your choice at any time, through Cookie settings at the bottom of every page of our website. You can also block or delete cookies in your browser, and limit how ads are personalized for you in your Google, Meta, TikTok, and LinkedIn ad settings.

Children

Olentra is not intended for anyone under 18, and we do not knowingly collect information from children.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the Service or by email.
